Cancellation Policy

1. INTRODUCTION

redbriQ offers a personalized subscription service that enables our clients to utilize AI-powered hotel operations, booking management, and guest communication features via WhatsApp.

This Cancellation and Refund Policy governs the terms under which you can cancel your subscription to redbriQ. This Policy applies exclusively to Hospitality Partner subscription plans between Defyd India Private Limited and Hospitality Partners.

As used in this Policy, "redbriQ service," "our service," or "the service" means the personalized service provided by Defyd India Private Limited for managing hotel bookings, guest communications, and operations through WhatsApp, including all features and functionalities, integrations, reports, and software associated with our service. References to "you" in this Policy indicate the Hospitality Partner who created the redbriQ account and whose payment method is charged for subscription fees.


2. EXCLUSION OF GUEST BOOKING CANCELLATIONS

This policy does NOT cover guest bookings and cancellations for individual hotel reservations. Cancellations, modifications, and refunds for guest-level bookings are governed entirely by the specific Hospitality Partner's own cancellation policy, not by redbriQ's policy.

redbriQ does not control guest refund policies. These remain the sole responsibility of the respective Hospitality Partner. Guests should always refer to the hotel's booking terms and cancellation policy for information about stay-related cancellations and refunds. redbriQ is only a platform tool that helps Hospitality Partners manage their bookings and guest communications—redbriQ does not process or approve guest refunds.


3. SUBSCRIPTION PLANS & VARIATIONS:

Your redbriQ subscription will continue to renew automatically until terminated. To use the redbriQ service, you must have access to WhatsApp and a valid Payment Method. "Payment Method" means a current, valid, accepted method of payment, as may be updated from time to time, and which may include payment through your subscription account with a third party.

We offer three subscription plans (Starter, Basic, and Premium). Some subscription plans may have differing conditions and limitations, which will be disclosed at your sign-up or in other communications made available to you. You can find specific details regarding your redbriQ subscription by contacting our support team at support@redbriq.com or by WhatsApp during your plan's support hours.


4. BILLING CYCLE

Your subscription fee will be charged to your payment method on the billing date shown in your subscription account settings. The billing cycle length depends on your chosen plan (monthly or annual). Your payment date may change if your payment method fails, you change plans, or other billing adjustments occur.

We may pre-authorize your payment method for up to one month of service charges. Check your subscription account page for your next payment date.


5. PAYMENT METHODS

You must provide a valid payment method to use redbriQ. You authorize us to charge any payment method on file if your primary method is declined. You remain responsible for any unpaid amounts.

If a payment fails and you don't cancel your account, we may suspend your access until we receive a valid payment. You can update your payment method at any time in your subscription account settings.


6. CANCELLATION

You can cancel your subscription at any time. You will have access to redbriQ through the end of your current billing period. To cancel, email support@redbriq.com with your cancellation request, including your hotel name and account email.

Your account will close at the end of your current billing period. Check your subscription account settings for your account closure date.

Once payments are made, they cannot be refunded. We do not provide refunds or credits for partial membership periods or unused portions of your subscription.


7. REFUNDS

Subscription fees are non-refundable once charged. Your subscription remains active through the end of your billing period even if you cancel mid-month.

Refunds are only provided in these cases:

  • Duplicate billing due to system error (full refund)
  • Unauthorized payment with valid dispute evidence (full refund)
  • redbriQ terminates your account without cause (pro-rata refund for future months only)

Eligible refunds are processed within 15 business days of approval and issued to your original payment source.


8. PRICE CHANGES

We may change our subscription plans and pricing at any time. We will notify you at least 30 days before any price change takes effect. If you do not accept the price change, you can cancel your membership before the new price takes effect without penalty.


9. AUTO-RENEWAL & REMINDERS

Your subscription automatically renews at the end of each billing cycle unless you cancel. We send renewal reminders:

  • Monthly Plans: 2 days before renewal
  • Annual Plans: 15 days before renewal

Reminder emails include cancellation instructions. Check your spam folder if you don't receive them.


10. FAILED PAYMENTS

If a payment fails, we will retry automatically. If all retries fail, your account will be suspended. Update your payment method and contact support@redbriq.com to restore access. You must resolve payment within 7 days, or your account will be terminated.


11. TERMINATION BY redbriQ

For Cause: We may immediately terminate your account without refund if you violate our Terms of Service, commit fraud, scrape data, violate laws, abuse support staff, or have overdue invoices (30+ days past due).

Without Cause: We may terminate with 30 days' written notice and provide a pro-rata refund of any prepaid future months (not current month). We will provide reasonable assistance to help you export your data following cancellation.


12. FORCE MAJEURE

If a force majeure event (pandemic, natural disaster, government lockdown) prevents your property from operating, you can request a service pause.

Email support@redbriq.com with evidence of the event. Billing is immediately suspended. Pause is initially approved for up to 90 days, with monthly extensions (maximum 180 days).


13. GST & TAXES

All subscription prices shown include GST. No additional tax will be added. You will receive a valid GST invoice for all charges.

Your organization may be able to claim Input Tax Credit (ITC) on GST paid — verify eligibility with your accountant.

If a refund is issued, a Credit Note is provided to reverse the original GST. You must adjust your GST return accordingly.


14. BILLING DISPUTES

If you believe you've been charged incorrectly, email support@redbriq.com with your invoice number and the details of your dispute. We will investigate within 10 business days.

Report disputes within 30 days of the charge. After 30 days, we may not be able to issue refunds for billing errors.

16. CHANGES TO THIS POLICY

We may update this policy at any time. Material changes take effect 30 days after written notice via email. You can cancel without penalty during the notice period if you disagree with the changes.


17. YOUR AGREEMENT

By subscribing to redbriQ, you acknowledge that you have read, understood, and agreed to this Cancellation and Refund Policy. If you disagree, you may cancel at any time.
